Privacy Policy

Effective date: October 16, 2026

1. Purpose and scope

Amantinas Inc. uses information to provide services, communicate with clients, coordinate business activity, and maintain accurate records.

This Privacy Policy explains our handling of personal information received through our public website, forms, telephone calls, email, text messages, documents, and service relationships.

It also covers information processed through our internal operations system and connected technology providers.

We do not sell personal information. We do not share personal information for third-party advertising, cross-context behavioral advertising, or unrelated lead generation.

This Policy does not replace a transaction-specific disclosure or financial privacy notice required by law.

2. Information we collect

The information collected depends on the service and your relationship with us.

Identity and contact information: Names, email addresses, telephone numbers, mailing addresses, authorized representative details, and identity verification information when necessary.

Property and service information: Property addresses, housing preferences, application details, household information relevant to a service, maintenance requests, photographs, appointment information, and service history.

Financial and transaction information: Financial information necessary for an application or agreement, payment records, statements, invoices, balances, transaction history, and related supporting documents.

Communications: Emails, messages, attachments, call metadata, voicemail, correspondence, and communication preferences.

Electronic document records: Agreements, signatures, timestamps, document status, and available authentication or audit information.

Technical and security information: IP addresses, browser or device information, access events, authentication activity, application errors, and security logs.

Consent records: Permission to communicate, electronic delivery choices, messaging opt-ins, opt-outs, and related timestamps.

We seek to collect information relevant to a legitimate purpose rather than information simply because it is available.

3. Sources of information

We may receive information:

  • Directly from you or your authorized representative.
  • Through communications and transactions with us.
  • From parties involved in an authorized service or transaction.
  • From technology providers supporting our operations.
  • From lawful public records or other lawful sources relevant to your request.

Receiving information does not authorize us to use it for every possible purpose.

4. How we use information

We use information as appropriate to:

  • Respond to inquiries and provide requested or contracted services.
  • Coordinate properties, appointments, documents, maintenance, and other service activity.
  • Process applications and transactions using applicable procedures.
  • Maintain financial, contractual, operational, and communication records.
  • Connect related communications to the correct person, property, or transaction.
  • Send authorized service messages.
  • Prevent fraud and unauthorized access.
  • Investigate errors, disputes, and security incidents.
  • Meet legal, accounting, tax, insurance, and recordkeeping obligations.
  • Improve the accuracy and reliability of our operations.

This Policy is not blanket consent to credit checks, background checks, promotional texts, recording, or another activity requiring separate authorization.

5. Internal records and operational logging

We use an internal operations system to organize our business.

For example, a service request, related email, telephone call, signed document, and follow-up task may be connected to the same client or property record.

Records may include communication history, staff notes, status changes, task assignments, timestamps, and relevant audit events. This supports continuity, accountability, and accurate follow-through.

Logging does not mean every communication is recorded or every action is monitored continuously.

6. APIs and technology providers

We use application programming interfaces, or APIs, to connect approved systems. These connections allow relevant information to move between tools for specific business functions.

Depending on the service and current configuration, providers may include:

  • Google Workspace: Email, documents, file storage, and scheduling.
  • Zoom: Telephone calls, voicemail, messaging, and available communication assistance.
  • Documenso: Electronic signatures, document processing, and signature audit records.
  • Atlassian Jira: Tasks, service coordination, and operational follow-up.
  • Vercel, Supabase, and Oracle Cloud: Application hosting, databases, and infrastructure.
  • Other providers necessary for payments, security, professional services, or a particular transaction.

Not every provider receives every record. Information depends on the function being performed.

Providers may create operational logs, maintain backups, use subprocessors, and process information under applicable service agreements and privacy terms. We do not represent that all records remain exclusively on equipment owned by Amantinas.

Our provider list may change. A new provider does not, by itself, authorize an unrelated new use of personal information.

7. Email, calendars, and connected business accounts

Our systems may process business emails, attachments, calendar entries, and related metadata to organize client matters and service work.

Where you authorize access to an account, access is limited by the permissions granted and the applicable integration.

You may revoke an account connection through the relevant provider. Revocation can stop future access but does not automatically delete records already lawfully retained for an ongoing service or legal obligation.

8. Artificial intelligence and automated assistance

We may use AI-assisted features to summarize conversations, categorize information, prepare drafts, identify possible follow-up work, and help staff navigate records.

Relevant content may be transmitted to the provider operating the feature. Provider-specific processing, retention, and model-improvement practices depend on the applicable product, agreement, and settings.

We do not claim that every provider has identical retention or training restrictions.

AI-generated output can be inaccurate. It is not authoritative evidence of your agreement or a substitute for appropriate human review. An automated summary does not independently establish a contractual obligation.

Contact us to question an inaccurate record or discuss available alternatives.

9. Calls, voicemail, and recordings

We may process call details, voicemail, and correspondence to provide services and maintain records.

Where recording, transcription, or automated call summaries are enabled, we provide notice and obtain consent as required by applicable law.

Tell our representative if you prefer another available communication method. Contact us to request correction of an inaccurate transcript or summary.

10. Text messaging privacy

We use mobile numbers, messages, delivery information, and consent records to administer our messaging program, provide support, and honor communication choices.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with service providers necessary to operate and deliver our text messaging program.

Messaging information may be disclosed to providers, carriers, and supporting processors only as necessary to deliver and administer messages, protect the service, comply with law, and honor consent or opt-out requests.

We do not sell messaging consent or transfer it to another business for that business’s independent messaging program.

Reply STOP to opt out or HELP for assistance. You may also email support@amantinas.com.

11. Other permitted disclosures

We may disclose relevant information to:

  • Authorized employees, assistants, and contractors who need it for their work.
  • Providers supporting the functions described in this Policy.
  • Property owners, service professionals, transaction participants, and advisers as necessary and appropriately authorized.
  • Accountants, attorneys, insurers, and other professional advisers.
  • Authorities or other parties when required by law.
  • Parties involved in addressing fraud, safety concerns, disputes, or protection of legal rights.
  • Another recipient when you direct us or provide appropriate authorization.

An organizational transaction, such as a merger or sale of business assets, may involve relevant records, subject to applicable restrictions and confidentiality protections. Such a transfer is not permission for unrelated marketing use.

We consider the purpose and sensitivity of information when determining what to disclose.

12. Authorized access outside the United States

Some assistants, contractors, or providers may work outside the United States. Information may be accessed, stored, or processed in those locations for legitimate service functions.

Applicable laws and protections may differ between countries. Cross-border handling remains subject to legal and contractual requirements that apply to the activity.

13. Information security

We use reasonable administrative, technical, and organizational safeguards appropriate to our operations and the information involved.

No website, API connection, communication channel, or storage system can guarantee complete security or uninterrupted availability.

A provider outage or security incident does not automatically establish fault by any party. Responsibility depends on the circumstances and applicable law.

Nothing in this Policy waives our security obligations, incident notification duties, or responsibility that cannot legally be excluded.

14. Retention and disposal

We retain information according to its purpose, the service relationship, and applicable legal requirements.

Relevant considerations include transaction completion, accounting and tax requirements, contractual duties, disputes, fraud prevention, and legal preservation requirements.

Different records may have different retention periods. We do not promise immediate deletion of all information when a relationship ends.

When records are no longer needed, we delete, de-identify, or securely dispose of them as appropriate. Backup copies may remain until their scheduled expiration, subject to applicable requirements.

We may retain a limited suppression record to avoid contacting someone who has opted out.

15. Your choices and privacy requests

You may contact us to:

  • Request access to personal information.
  • Correct inaccurate information.
  • Request deletion where applicable.
  • Ask about recipients, purposes, or retention.
  • Update communication preferences.
  • Exercise other rights available under applicable law.

We may verify identity and authority before releasing or modifying records. We will not request unnecessary sensitive information merely to process a request.

Requests may be limited by legal retention requirements, the rights of other people, security concerns, or other lawful exceptions. We will explain applicable limitations and appeal options where required.

We do not retaliate against someone for exercising a legally protected privacy right.

16. Cookies and website technology

Our website and supporting providers may use cookies, local storage, or similar technology for functions such as authentication, preferences, security, and service operation.

Where optional analytics or other nonessential technologies are deployed, applicable disclosures and consent controls must reflect those actual uses.

We do not use this Policy as authorization for undisclosed advertising trackers.

Browser settings may limit certain technologies, although doing so can affect functionality.

17. Children and household information

Our website is intended for adults and is not directed to children under 13.

We do not knowingly collect information directly from children under 13 through the website. An adult may provide household information when relevant to a legitimate service, subject to applicable law.

Do not submit a child’s sensitive information unless it is necessary and an appropriate submission method has been arranged.

18. Third-party websites

Links may lead to websites or services operated independently of Amantinas. Their own privacy practices apply.

Providing a link does not mean we control that organization or guarantee its conduct. This does not eliminate obligations Amantinas may have for information it discloses to a provider.

19. Policy changes

We will update the effective date when this Policy changes.

Where required, we will provide additional notice or obtain consent before materially changing how previously collected information is used.

A revised policy does not authorize an otherwise unlawful or incompatible use merely because it has been posted.
